Trinity, a comprehensive university in the nation’s capital, invites applications for a full-time Director of Academic Administration to support the functions of Academic Affairs. Reporting directly to the Provost, the Director works closely with academic unit Deans and other university offices to develop and maintain the Academic Calendar and Academic Affairs websites and other public-facing materials, generate reports and analyses pertaining to Academic Affairs key performance indicators, assist the Provost with administrative aspects of managing adjunct and part-time faculty, support academic grants administration, work with faculty on text adoption and act as liaison to Trinity’s virtual bookstore, manage administrative aspects of academic initiatives and events, and provide executive administrative support including office correspondence and communications.  This position supervises the faculty service coordinator and student worker staff.  Note this position involves the teamwork, collaboration, and personal interaction expected in a campus environment and cannot be achieved remotely; therefore, regular on-site attendance is required.

Specifically, the Director of Academic Administration will be responsible to:

  • Manage day-to-day office functions and communications, as well as implement and manage standing and ad-hoc projects that directly impact academic operations;
  • With the Provost, develop and maintain Academic Affairs’ virtual presence, including all facets of the Academic Calendar and Academic Affairs website;
  • Generate Academic Affairs reports and analyses, such as dashboard data regarding course offerings, enrollment, faculty and adjunct data, major and minor trends, and other reports;
  • Spearhead and oversee faculty textbook adoptions, and act as Trinity’s bookstore liaison;
  • Assist in planning, management, and support of major academic events such as dean’s list and honor society ceremonies, convocations, and commencement;
  • Ensure strong ongoing management of faculty services, and oversee the Faculty Services Coordinator and student worker staff
  • Assist the Provost with administrative aspects of managing adjunct faculty and planning and executing Adjunct Orientation;
  • Support grants administration by maintaining budgets, tracking spend-down, and monitoring payment and budgetary processes related to specific grant initiatives;
  • Manage administrative aspects of new program roll-outs, interfacing with Enrollment Services, Creative Services, Admissions, deans and faculty;
  • Coordinate academic office space and support space allocation;
  • Additional activities that may arise in the course of academic administrative management.

Qualifications

Candidates should possess:

  • A minimum of a master’s degree in educational administration, communications, management, or a related field, or demonstrated experience (3-5 years) in an academic environment in a role with administrative aspects;
  • Experience with student database and course management software, Microsoft Office suite or comparable office products, Web management software (WordPress), and data analysis and visualization;
  • Excellent communication (verbal and written) and administrative skills, including project management, team leadership, and strong attention to detail;
  • Supervisory experience of staff;
  • Synchronicity with Trinity’s educational mission.
