Work Study – Conference Services Student Assistant

This position acts as an official representative of the University and is responsible for the following:

  • assisting with event/conference housing management;
  • scheduling of events/conference housing;
  • assisting with set-up/breakdown for both internal and external events;
  • maintaining event/conference housing reports, contracts, and invoices;
  • serves as a liaison between Trinity’s Department of Public Safety (DPS) and conference guests;
  • provides customer service and assistance as needed to conference guests;
  • ability to work with various university departments including (but not limited to), post office/copy center, facilities, public safety, and catering;
  • maintaining a high standard of personal appearance;
  • ability to follow the policies and procedures set forth by the Executive Director and Director of Conference Services for the department;
  • occasionally assisting with the needs of conference housing guests as they arise outside of office hours;
  • cover the reception desk at the Payden Academic Center as needed.

Qualifications:

  • must be a Trinity Washington University student and registered for the 2023 Fall Semester;
  • must be able to dedicate a minimum of 10 hours a week to Conference Services;
  • experience working within a public-service-oriented environment is encouraged;
  • must possess excellent verbal and written communication skills, especially with email correspondence;
  • ability to react and respond to urgent situations;
  • able to work under pressure, adjust to changes while maintaining great attention to detail, and have the ability to multitask;
  • must have the ability to exercise discretion, independent judgment, and prioritize assignments with minimal supervision
  • must be proficient in Microsoft Word and Excel, Google Drive is a plus;
  • knowledge of the city and its various transportation systems is helpful;
  • living on campus or within 10-15 minutes of campus is strongly preferred;
  • must be able to promote departmental and University policies, represent the University, Housing and Residential Services, and Conference Services departments to guests in a positive and supportive manner; s
  • how diplomacy while working with individuals from many backgrounds and of all ages;
  • ability to complete occasional physical tasks related to events and therefore be able to lift up to 50 pounds;
  • must be available to work flexible hours including early mornings, evenings, weekends, and holidays (will work around class schedule).

Period of Service:

August 2023 to December 2023
